data & security policy

As customers and clients of Vicky Morse Design, including Accidental Vix, I may hold some information about you (your name, email address, and in some cases, your postal address and telephone number). This is a short note setting out how I collect, use and store this information. If you have any questions then please contact me.

IMPORTANT NOTE: When I talk about “information”, I am only referring to your contact details. I never have access to your financial information when you make payments using PayPal, WorldPay (for payments at fairs) or bank transfer.  All sensitive financial information is held securely by the processing companies, and they never share this with me, or anyone else.

How I collect information

Whenever you order from me either through my Etsy shop or directly I only obtain sufficient information about you to enable me to process and fulfil you order or service.

I also have a contact form which asks for your name and e-mail address to allow me to communicate with you about your query or potential order.

The website provider I use, WordPress, has cookies enabled for this site to make sure your computer (or other device) is recognised when you visit here again. You can find out more about cookies in general here, sadly they’re not the tasty kind, but better for the waistline, and you are able to disable or delete cookies, here is an overview.

Who has access to your information

Just me! As sole designer, manager and admin for Vicky Morse Design, including Accidental Vix, I am the only one who ever has access to your information, and I never, pass this on to anyone else.

If you pay me using PayPal, they will also hold information about you. You can read their Privacy Policy here.

If you order through Etsy you can read my Privacy Policy within my shop policies or contact Etsy directly.

If you pay me via BACS through your bank then please refer to their data policy.

I use Mailchimp as my marketing platform. By clicking to subscribe to e-mails, you acknowledge that your information will be transferred to Mailchimp for processing. For Mailchimp privacy practices please click here. You can unsubscribe at any time by clicking the link in the footer of our emails. 

How I use your information

If you have completed a pre-order form, at a fair, or contacted me through my contact form you can expect to hear from me using the contact information you’ve provided.

How I store information

I keep an electronic spreadsheet of all Accidental Vix customers and those who are on my pre-order list. I also keep e-mail addresses, names and postal addresses where necessary for illustration and interior design clients in a spreadsheet, and within ‘FreeAgent’ which I use for accounts and invoicing, their privacy policy can be read here. All information, including drawings, spreadsheets and relevant information where necessary, including interior design clients, is held on my password-protected laptop, and dropbox which is also password-protected and Privacy Shield Certified. This is my own laptop and not shared with anyone.

I keep this spreadsheet and use ‘FreeAgent’ software solely for accounting and tax purposes (HMRC require me to keep all sales and financial records for at least 6 years.)

Any information written down on paper eg. at fairs, is transferred to my electronic spreadsheet, as mentioned above, and then the original paper file destroyed. All paper files that are in current use, such as site packs and surveys are kept in my studio with lockable door and windows. No information is left in a vehicle unattended.

My business email accounts are separate from my personal e-mail account, and I am extra vigilant when sending or receiving emails – to help prevent sophisticated phishing attempts and scams.

Your rights

You can ask me at any time what information I hold about you, and I will give you full details free of charge. You also have the right to ask that your details be deleted, amended or transferred. If you ever change your mind about what information, if any, you want me to hold on your behalf, just contact me, apart from exceptional circumstances (like where I am required to store data for legal reasons) I will delete your personal information upon request.
